Hutchens Petroleum provides its dealers with a data collection method to bring greater precision to the dispatching of fuel to the sites, and greater awareness of your current inventory. These tools do two important things for you:
- They provide gauges very frequently from your site to the Hutchens dispatch center in Stuart, VA. Typically, we will gather a gauge every two hours.

Hutchens’ dealer sites gain from this technology in several ways. Our dispatching tools plan loads for a balanced inventory. Normally this reduces the amount of product maintained in premium and midgrade tanks. By reducing the amount of these “off products”, we can support sales with less of your money invested in inventory, and with fewer runouts or diversions.
Alternative implementations allow you to gather more data from your sites if that is your wish. To implement the tools with these features, we would need to
know that you want that data to be gathered on your behalf. Our tools are capable of gathering department sales such as beverage or lottery from your daily
closing, and maintain full copies of your journal tapes for your access. Talk to your dealer manager if you want these options for your site.
Hutchens’ tools are Internet-based. This means that you would be provided a secured User ID and a password to access your site’s data. Hutchens manages the
access so that we only have access to the fuel data from your site, while you have access to the store’s inside sales if that is desired. Likewise,
you will only have access to your individual site or sites. The process reads the Daily Closing, and converts it into files which can be used in other
computer programs like Microsoft Excel.

DAILY CLOSING DOCUMENTS AND INTERNET REPORTING
As described above, the entire Daily Closing is captured from a variety of point-of-sale systems.
This service provides a copy of that report in your secured library for one year. You may reference these electronic copies as often as you wish.
Hutchens’ Internet reporting tools allow you to run reports whenever you wish, as often as you wish. This becomes particularly useful
when doing monthly accounting for your site or sites.
STATISTICAL INVENTORY RECONCILIATION (SIR)
Some sites use SIR for compliance reporting. Hutchens offers two methods to submit yo
- Internet access – all data collected through Hutchens’ data collection is available to you
without re-keying. Analysis results are returned to you through your secured Internet site, and
stored there for one year. - Manual forms – Fill out the monthly worksheet for each tank, and fax it in for entry
and analysis. Analysis results are faxed back to you.
Speak to your dealer manager to discuss services which would assist you. Hutchens Petroleum will provide additional information as the date for installing the tools approaches. If you wish to have access to your site’s data including your closing tapes, please inform your dealer manager so that the proper implementation occurs at your site to gather that information while we are gathering fuel data.
